Grants-in-aid for academic and administrative faculty

Eligibility
- Administrative and academic faculty must be at least 50% FTE
- Faculty employee (up to 6 credits Fall, 6 credits Spring, 3 credits all Summer sessions); their unmarried dependents under the age of 24 (unlimited credits); and/or spouse (unlimited credits)
- Retired professional staff members who are age 55 or over at the time of retirement and have at least 20 years of NSHE service
- Dependents/spouse of deceased faculty Dependents (8 Semesters total) are eligible to age 24; Spouse and domestic partners registered with the Office of the Βι¶ΉΣ³» Secretary of State unlimited credits
- For qualified, dependent children who have served on active duty in the USAF, the age limit will be extended for the period of such active service, but not to exceed 6 years
- Faculty on sabbatical, with approval of the President, may take additional courses with Grants-in-Aid if for professional development
- Emeriti are eligible for 6 credits per semester
- Adjuncts are eligible for 6 credits per semester
- Letter of appointment (temporary, part-time) may receive Grants-in-Aid for courses taken during the regular fall and spring semesters, not to exceed the number of credit hours taught with a 6 credit maximum
Not eligible
- Students who are Graduate Assistants cannot apply nor receive Grants-in-Aid, as they are assisted through the Graduate Assistantship waiver
- Resident Physicians/Medical Residents
- Postdoctoral Fellows are not eligible but they are considered in-state residents for tuition purposes
- Spouses, domestic partners and dependents of Letter of Appointment employees
Credit restrictions
Employees teaching for credit are eligible for the amount of credits being taught in the current semester or the previous semester but not accumulative from semester to semester. Example: If the employee taught 3 credits in Fall and 3 credits in Spring they are still only eligible for 3 credits for Spring. However, if they taught 3 credits in Fall but are not teaching in the Spring, and they did not use fee benefit in the Fall they are eligible for the 3 credits in the Spring.
The department must write a letter, signed by the dean, assigning credit equivalency to the work being done for employees who are not teaching for credit. There is a 6-credit maximum.
Professional staff restrictions
Except as otherwise provided, professional staff members as defined in this section are restricted to no more than six credits in the fall and spring semesters. Professional staff members employed under an “A” contract shall be limited to three credits for Grants-in-aid across all summer semesters. Professional staff members employed under a “B” contract are not limited in the number of credits that are Grants-in-aid eligible during all summer sessions. There shall be no restriction on the number of credit hours a spouse or financially dependent child may register for under this policy. Upon approval by the institutional President, community college faculty while on sabbatical may take additional courses under this policy if for professional development.
Professional schools
Applicants for dependent grants-in-aid for professional schools will be required to provide proof of age and proof of dependency. (Spouse or domestic partner will be required to provide proof of marriage or domestic partnership)
Title 4, Chapter3, Section 11 of the Board of Regents Handbook states: The amount of grants-in-aid paid for professional schools will be "equivalent in value to that portion of the per credit registration fee allocated to the State Supported Operating Budget (or general fund)." Further, the universities shall waive the Capital Improvement fee". The amount is adjusted each year and published in the Βι¶ΉΣ³» System of Higher Education Procedures and Guidelines Manual.
Other information
- Correspondence courses for credit are covered as long as Extended Studies will accept the fee waivers.
- Health Fees will be waived for both faculty and classified staff but not for their dependents (even if covered on their health insurance).
- No privileges are usually associated with student registration (e.g. discounted tickets, intercollegiate athletic tickets, student health insurance). See Board of Regents Handbook, Title 4, Chapter 7, Section 7.
